An e-mail invitation will typically be sent to all video participants with the date and time for a test call and/or the actual event.

Email stating "Invitation to Join" will be received

Open e-mail and click where it says "Click here to join the meeting".

In the email next to Web URL select Click here to join the meeting.

A web browser session will open. Click the option to "Join as Guest".

On Sign In screen select Join As Guest button.

Sign in after entering Email address and Name.

Enter your email and name and click sign in.

Download the Polycom CloudAXIS client for your browser from this screen by clicking the DOWNLOAD button.

Click the download button to download the Polycom CloudAXIS client.

Click Run.

Click Run to install the client.

The video client should install in less than two minutes depending on internet bandwidth. Click Finish when complete.

Wait while the client installs and click Finish to complete.

A preview screen will now display showing your default webcam preview window.

Preview Screen Steps

A USB audio headset is STRONGLY recommended to avoid any audio echo cancellation issues.

  1. Check to make sure your headset is set up as your microphone.
  2. Check to make sure you have the appropriate video camera source selected.
  3. Check to make sure your headset is selected as your speaker source.
  4. Click to JOIN the meeting.

You will now be connected to your meeting. When you first join, you will be greeted with a Polycom auto attendant and "hold" music until the other video participants arrive. Please wait at this point.

Steps once meeting is open

  1. You'll have the option to turn self-view on or off.
  2. You can mute your audio if not speaking.
  3. Press the hang-up icon when meeting is complete.

If it is necessary to show your computer screen during the video event, you may click on the Content button in the upper right-hand portion of the screen.

Click the Content icon to share your computer screen.

With a Polycom CloudAXIS meeting, it is always best to configure your computer to only use one display screen during the video event to avoid any content issues. With only one display screen configured, you will see the following screen after clicking the Content button.

Share Monitor

  1. Click the monitor to share content from.
  2. Click the 'Share Now' button.

Your screen is now being shared into the video conference. You can navigate to a web page or open an application and the video participants will be able to view your screen.

When you wish to stop sharing content into the video conference, click the Stop button in the upper portion of your screen.

Select Stop when done
