Meeting Recap:

 

Welcome
  • Shawn Riley welcomed the participants, reviewed the agenda and introduced himself. The introduction included his education and background, career development, family and hobbies.

 

Enterprise Architecture Update
  • Jeff Quast provided an overview of the EA program and the recent EA activity. That activity included:
    • The E-Services Privacy Best Practices was rescinded. The document was quite outdated, and any relevant information will be included in the E-Services Privacy Standard.
    • The Records Migration Standard was updated, primarily with minor housekeeping, and a new Digital Archival Standard is being developed in conjunction with the Digital Preservation Working Group.
    • The Email Standard was updated twice; once to move the list of suspicious attachment types to the Email SLA, and once to require agencies to have an ‘All Staff’ distribution group.
    • The Physical Access Standard was updated to document that all visitors to the Datacenter are logged and escorted.
    • The E-Services Security Standard was updated, and now includes a reference to the Encryption Standard for secure collection of information.
    • A new Data Classification Guidelines document was created and published, and revisions are already being drafted to create a version two of the document.
    • New and ongoing EA initiatives were also reviewed and are listed in the Presentation Slides.

 

Large Project Status Update
  • Justin Data gave a status update of the large projects ranked in September of 2016. The projects are sorted by funding type; General, Special, and Federal. The status also indicates whether the projects were fully funded, partially funded, still seeking funding, or not funded at all. See the Presentation Slides for details.

 

IT Share Services
  • Shawn Riley gave an overview of the IT Shared Service initiative, beginning with the three core pillars of Alignment, Efficiency, and Delivery that will be used to achieve World Class Technology. The discussion was primarily focused on the workforce transition process.

 

Technology Focuses for State Government
  • Shawn Riley gave an overview of the technology focuses for state government, headlined by goals to develop a Unified Data Platform and fully embrace Citizen Engagement. An operational assessment of ITD’s Information Technology Service Management, Enterprise Project & Portfolio Management, and Software Development Life Cycle was also reviewed.

 

Where noted, the discussion of some of the above topics may be held in executive session rather than during the portion of the meeting that is open to the public. If this is a regular meeting, additional topics may be discussed. If this is a special or emergency meeting, the governing body's discussion will be limited to the topics and executive sessions listed above.
