Reports

All Users: 

The Work Management System Reports feature is now available for users with Contact Types of Lead Request Manager, Director, Supervisor, and Request Manager. If a user is eligible to view reports, the Reports Menu page will display the available reports. If a user is not eligible to view reports or a user is eligible but no reports are available, the Reports Menu page will display the message "No Reports to display for your access".

The WMS Reports feature allows users to schedule reports in batch mode or generate online reports real time. There are no billing charges for generating and viewing WMS Reports. Five reports are available free of charge at this time. Should additional reports be required, a WMS programming service request will need to be submitted. Requesting additional programmed reports will be a billable item.

Reports Currently Available:

  • Agency Request Status Totals Report by Division/Charge Code
    • This report contains totals by division and charge code for service requests that are Submitted, Assigned, On Hold, and Completed. This report is generated real time only and is not available as a scheduled batch report.
  • Agency Request Status Totals Report by Request Manager
    • This report contains totals by agency Request Managers for service requests that are Submitted, Assigned, On Hold, and Completed. This report is generated real time only and is not available as a scheduled batch report.
  • Completed Software Development Requests
    • This report contains information on completed software development service requests. This report is available as a scheduled batch report only, and is not available as a generated real time report.
  • Group Manager Status Report - Current
    • This report contains the status of non-Software Development service requests that are internal to a department. It is available as both a scheduled batch report and as a generated real time report.
  • Group Manager Status Report - History
    • This report contains the status of service requests for non-Software Development service requests. This report is generated real time only and is not available as a scheduled batch report.

To Setup a Batch or Real Time Report For Your Agency:

  1. Login to WMS.
  2. Either create a new Work Order or click on an existing Work Order to add a Service Request.
  3. Click the 'Service Requests' button.
  4. Click the 'Add Service Request' button.
  5. Choose 'Generic' under the 'Other' category. (Note: If the "Generic" link is 'grayed out', contact the ITD Service Desk at 877-328-4470 to have this service request enabled for your WMS account).
  6. On the first page of the Service Request, fill in the required fields, and leave the 'Internal Department Request' field set to 'No'. Select Continue.
  7. On the second page of the Service Request, fill in the Comments/Special Instructions box with the following information, and then select Continue:
    • The report name(s), e.g., Group manager Status Report - Current
    • Per report name, please identify the following:
      • The contact type(s) in your agency that should see the report (Lead, Request or other )
      • Indicate if you want the report set up as a scheduled batch run
      • If the report is to be set up as a scheduled batch run, please also identify the following:
        • Report frequency (daily, weekly, monthly, quarterly, yearly)
        • The 'day' of (week, month, quarter, year). Example: 3rd day of the month.
        • Retention days
  8. On the third page of the Service Request, select the 'Customer Services' group, scroll down and select Submit.

ITD Customer Services will set up the report for you. You will receive an email notification when the service request is completed.

To View a Batch Report:

  1. Login to WMS.
  2. Click on the "Main Menu" link.
  3. Click on the 'Reports Menu' link.
  4. Look for the 'Report Title' you wish to view. Click on the 'View Archive' link (under the action heading) that is located behind your chosen report title.
  5. Click the link of the report you wish to view.

A new browser window will open and your report will be displayed.

To Generate a Real Time Report:

  1. Login to WMS.
  2. Click on the "Main Menu" link.
  3. Click on the 'Reports Menu' link.
  4. Look for the 'Report Title' you wish to generate. Click on the 'Generate' link (under the action heading) that is located behind your chosen report title.
  5. Fill in the required data fields and then click on 'Create Report'.

A new browser window will open and the message "Please wait, the server is processing your request" will display. Your report will display after being processed.

Note: If you are using pop-up blocker software you may have to temporarily disable that software to view your report. Most software allows you to 'temporarily' or 'always' allow pop-ups from a web site and should prompt you when the report is generating. Please consult your PC technical support if you need assistance with your pop-up blocker software.

ITD Users: 

The following reports are available to all ITD Divisions:

  • Group Manager Status Report - Current
    • This report contains information for non-Software Development service requests that are Assigned, On Hold, Returned, Submitted, or Work Completed. It is available as both a scheduled batch report and as a generated real time report.
  • Group Manager Status Report - History
    • This report contains a list of non-Software Development service requests that were Submitted or Completed within a specified date range. This report is generated real time only and is not available as a scheduled batch report.

The following reports are available to the ITD Software Development Division:

  • SD Cost Estimate Historical Analysis Report
    • This report contains completed Software Development service requests that are managed by the PMO Office. This report is generated real time only and is not available as a scheduled batch report.
  • SD Division Performance Measure Report
    • This report identifies performance measures for all service requests completed by the Software Development Division. It identifies service requests that went over the estimated timeframe and estimated hours. It is available as both a scheduled batch report and as a generated real time report.
  • SD Employee Performance Measure Report
    • This report identifies performance measures for each employee's individual assignments. It indicates any assignments that went over the estimated timeframe and estimated hours. It is available as both a scheduled batch report and as a generated real time report.
  • SD Group Manager Status Report - Current
    • This report contains open service requests and uncompleted assignments. Open service requests include the statuses of Submitted, Assigned, On Hold, and Returned. It is available as both a scheduled batch report and as a generated real time report.
  • SD Group Manager Status Report - History
    • This report contains a list of Software Development service requests that were Submitted or Completed within a specified date range. This report is generated real time only and is not available as a scheduled batch report.
  • SD Team Performance Measure Report
    • This report identifies performance measures for each team in the Software Development Division. It indicates any assignments that went over the estimated timeframe and estimated hours. It is available as both a scheduled batch report and as a generated real time report.
  • SD Workload Snapshot
    • This report is for Software Development Managers to provide a workload snapshot at a point in time. It is used to balance the workload among teams. This report is available as a scheduled batch report only, and is not available as a generated real time report.
