Purpose

Accommodate desktop searching without impacting the security of the indexed information or the performance and security of the enterprise services.

Standard

Desktop Search tools will be configured in a manner that does not access the shared enterprise infrastructure.

Policy

Desktop search tools shall not access the shared enterprise infrastructure.

Applicability

This standard applies to all executive branch state agencies excluding the University Systems Office and other higher education institutions, i.e. campuses and agricultural and research centers.

Definition

Desktop Search tools: Tools that provide users the ability to search or inventory digital content where the index is stored on the local device.

Guidance

Agencies utilizing shared enterprise services must abide by the guidelines listed in Appendix A.

Non-Compliance

Non-compliance with this standard shall be reported to the Office of the State Auditor.

Version Control:

This is a new standard.

Appendix A

Guidelines for implementing Desktop Search tools with the shared enterprise infrastructure.

Shall not search against file shares
Shall not search content on the mail server.
Microsoft Windows Desktop Search tool v 2.06 or higher must be used if indexing Exchange cache mode.
Local Indexes will not be shared.
