Q. Can a provider sign up for direct deposit anytime in the next month or two, or should they wait for the new system to go live?

  • You will receive a paper check until you change your payment choice. You should contact Provider Enrollment now if you want to receive direct deposit when ND Health Enterprise is implemented. Contact Provider Enrollment at dhsenrollment@nd.gov.

Q. How do I register for web portal access if I did not do so during re-enrollment?

  • You can register on or after October 5, 2015 by clicking on the "Register" link located in the Provider Registration section of the ND MMIS Health Enterprise Home Page. The user ID and password will be mailed in separate provider letters. Following that step, additional Organization Administrator accounts and other user accounts can be established.

Q. When can I perform our security profile set ups in Health Enterprise?

  • 8:00am CDT October 5, 2015 or thereafter.

Q. Since our organization completed the re-enrollment process, the main contact person has retired. When we receive our new ID’s and passwords, can this information be changed at login or does it need to be done beforehand?

  • You need to designate a new organization administrator who can use the retired person's account to create a new account for themselves with the correct roles, and then deactivate the retired person's account.

Q. Can DHS give providers time to get our organization administration set up earlier than that of the live date?

  • Due to the need for a static, stable environment prior to go-live, both internal and external users will now not have access to ND Health Enterprise MMIS until October 05, 2015.

Q. What occurs if a provider did NOT identify an Organization Administrator during the re-enrollment application process?

  • The provider must first perform a web portal registration by clicking on the "Register" link located in the Provider Registration section of the ND MMIS Health Enterprise Home Page (starting at 8:00am CDT October 5, 2015) with their new Health Enterprise 7-digit Medicaid provider number on the Home page of the web portal. Once web portal registration is complete, the Organization Administrator’s user ID and password will be mailed to the provider.

 

Important Information: A suspended claim means the claim has been received and requires additional action to move to a completed status. This may be an additional review for medical necessity, checking for a service authorization, waiting for an attachment or supporting documentation, or verifying member or provider enrollment information.

PLEASE allow sufficient time for suspended claims to complete processing and do not resubmit a duplicate claim. The recent Transition Period during which claim processing was on hold has resulted in higher than normal claim volumes.

Thank you for your patience during this start-up period while the Department is working diligently to process all claims as soon as possible.

Provider Enrollment Notice (Effective 8/21/15 to 10/4/15)

IMPORTANT UPDATE: The Enterprise provider enrollment application is unavailable from August 21, 2015 through October 4, 2015. New applications, applications in process, and updates to Enterprise provider enrollment records will be available again on October 5, 2015 as a component of the new ND Health Enterprise MMIS system Go-Live.

Please check back later to confirm application status and request provider enrollment record changes. We appreciate your patience during the transition period as the Department completes the necessary work for this important system change.

Aug. 3, 2015 - In preparation for the ND Health Enterprise MMIS, the Department is now instructing providers to include their taxonomy code on electronic claims submitted for processing with the current Legacy MMIS system. This action is to help providers adjust to the new requirements.

July 21, 2015 - Important Notice - ND Health Enterprise MMIS Implementation Letter and Key Points.

May 25, 2015 - ND Medicaid will offer Health Care Claim Payment/Advice (835) Transactions when the new ND Health Enterprise MMIS goes live. Providers who wish to receive an 835 transaction will be REQUIRED to complete one of two forms.

  • SFN 109 authorizes a Clearing House or Billing Agent to retrieve a provider’s 835 Electronic Remittance Advice (ERA) transactions.
  • SFN 111 is for providers who have the capability of retrieving their own 835 Electronic Remittance Advice (ERA) transactions.

April 20, 2015 - This letter is being sent to ND Medicaid providers regarding upcoming training opportunities for the new ND Health Enterprise MMIS.

March 31, 2015 - For electronic claims (excluding Qualified Service Provider claims), the ND Health Enterprise MMIS requires the provider’s taxonomy code for all providers on the claim. Providers should begin submitting their taxonomy codes on current electronic claims. Individual and group providers can learn more about valid taxonomy codes under the Additional Enrollment Resources heading.

2014 Updates

Aug. 18, 2014 - The N.D. Department of Human Services (Department) is working on the new ND Medicaid claims processing system: ND Health Enterprise MMIS. The Department has worked on ND Health Enterprise MMIS for many years and has experienced several delays. The Department is carefully reviewing claims payment and testing to ensure ND Health Enterprise MMIS can support claims payment before the final decision is made to complete the transition to the new system. The Department will keep providers posted on the implementation date that is identified after it is confident that the system will meet critical business requirements.

As of July, 14, 2014, the provider enrollment deadline date for the ND Health Enterprise is being extended. Please submit your enrollment application and required documentation as soon as possible. (Qualified Service Providers and Developmental Disability Provider enrollments are complete – no action required).

April 2014 - Provider Enrollment Reminders - Letters were sent to providers and trading partners who need to enroll in the MMIS to get paid once it goes live.

Nov. 7, 2013 - Helpful Tips for Individual and Group Providers

This Helpful Tips for Individual and Group Providers publication contains tips, FAQ’s, and general information to help both groups and individual completing the ND MMIS provider enrollment. The Department highly recommends that providers read this prior to starting or submitting the enrollment application as this will provide information that will make the enrollment process much quicker and easier.

This document contains a section for individual professionals and a section for groups, please ensure that you are in the correct section as the information will vary from an individual to a group application. It is also split into general information and then replicates important information for each section of the enrollment application.

Oct. 11, 2013 - Add an Additional Service Location and Provider Type Functionality

The 'Add an Additional Service Location' and 'Add an Additional Type' functionality at the end of the enrollment applications is currently being disabled and should not be used going forward. All groups/facilities that must enroll multiple locations or provider types, a separate enrollment application is required for each location or type.

For those physicians who are completing an individual application, the 'Add an Additional Service Location' option should never be used. An individual physician that renders services at multiple locations would use the 'Group Affiliations' section within the individual application. This would associate this individual with each service location or group.

Ultimately, an individual physician is only required to be enrolled into the ND MMIS system one time, except when the physician has multiple provider types. In this instance, a separate enrollment application is required for each provider type.

Sept. 11, 2013 - Electronic Transaction Submission

In this section of the enrollment form, Vendor Software and Billing Agent/Clearinghouse should only be selected for groups or individuals that will be the billing entity for a Medicaid claim. If an individual physician is part of a group and will strictly be the rendering provider, you would only need to select the North Dakota MMIS Web Portal option in the Electronic Transaction Submission section of the application.

Aug. 20, 2013 - Officials Discuss Medicaid Information System Schedule

The N.D. Department of Human Services is anticipating a delay in the scheduled launch of the new Medicaid Management Information System (MMIS). The computer system has a contracted completion date of Oct. 1, 2013; however, the Department and Xerox State Healthcare are discussing a revised work plan for the project's completion and a new "go live" date. The department anticipates the new "go-live" date to shift to the second quarter of calendar year 2014.

Some important benchmarks have already been reached. Construction of the base system is complete and provider enrollment has been underway since April 2013. However, work continues to ensure that information from the department's 1970s era Legacy MMIS system is not compromised during the conversion to the new system.

Xerox is also under contract with other states, and North Dakota is tracking the success of the New Hampshire system (implemented in March 2013), and the Alaska project (set to be implemented in October 2013).
